Initial situation and challenges:
In the course of digitalization, Brochwitz GmbH sought to comprehensively optimize and automate its maintenance processes. The key challenges involved were:

  • Flexible digital route planning:
    The previously manual route planning process was to be replaced by a digital system that provides automatic suggestions with definable grace periods (e.g., ±30 days) for maintenance appointments.
  • Automated customer communication:
    Instead of appointment reminders being sent by postcard as before, notifications will in future be generated and sent automatically and digitally based on the planned tours.
  • Multi-day tours including overnight accommodation logistics:
    Since maintenance tours often take place over several days, it was necessary to integrate overnight accommodation options directly into route planning and optimization.
  • Clear role management (possessor ≠ owner):
    Many assets are used by the possessor but belong to a different owner. These differentiated roles should be accurately mapped and managed in the software.
  • Structured transfer of digital maintenance reports:
    The automated transfer of maintenance reports and sample information to the internal Brochwitz system should be transparent, clearly structured, and addressee-specific (customer, owner, authorities).

In close cooperation with Brochwitz GmbH, MWA Solutions has adapted and expanded the maintenance module of logistocat to meet Brochwitz's requirements with the following functionalities:

    Flexible scheduling based on rule-based time slots—adapted to geographic clusters and taking into account resources and overnight accommodation options.

    Generate and send digital appointment information directly from the software—customized, compliant with data protection regulations, and efficient.
  3. Intelligent sample management
    Planning and documentation of sample collection at individual intervals—including tracking and archiving.
  4. Differentiated role model for asset responsibility
    Separation and assignment of owners and proprietors for the precise mapping of legal and organizational responsibilities.
  5. Seamless integration into Brochwitz's in-house system
    Automated transfer of all maintenance and sample reports—clearly structured for customers, owners, and authorities, with audit-proof archiving.
  6. Report dashboards and monitoring functions
    Real-time insights into tour status, sample progress, and open tasks—for planning reliability and transparency vis-à-vis external partners.
